There’s nothing quite like the thrill of walking up to a hotel front desk and hearing those magic words: You’ve been upgraded. It feels like winning the travel lottery, but for most of us, it rarely happens.
Fred Harrington, CEO of ProxyCoupons and a travel deal expert, says getting a free hotel upgrade isn’t about luck or elite status, it’s about timing and asking the right way.
“Travelers usually assume upgrades are reserved for VIP guests or those willing to pay extra,” says Fred. “But hotels often have available upgraded rooms sitting empty, and they’d rather give them to polite guests than let them go unused.”
Fred’s strategy? Send a short, polite email to the hotel’s front desk manager or guest services team. Include your reservation confirmation number, check-in date, and a brief note about why your stay is special – whether it’s a birthday, anniversary, or just a meaningful trip. It’s also important to send your email at the right moment.
That moment, according to Fred, is 24 to 48 hours before check-in. “Hotels have a clearer picture of their occupancy and available inventory during this window,” Fred explains. “They know which rooms will be empty and can make decisions about complimentary upgrades without the pressure of walk-in guests or last-minute bookings.”
The magic phrase Fred recommends: “If you have any availability, we would be grateful for any room upgrade you might consider.”
This simple, appreciative wording gives hotel staff room to make the call without pressure.
Fred emphasizes that while upgrades are never guaranteed, this approach works far more often than people think. “The key is understanding that hotel staff are people too. They appreciate politeness, they want to make guests happy when possible, and they have more flexibility than most travelers assume. A little courtesy goes a long way in this business.”
How to boost your chances even further

While the email technique is a smart standalone move, Fred suggests a few additional strategies that can tip the odds even more in your favor when it comes to hotel upgrades.
Book direct with the hotel
Try to skip third-party booking sites when possible. “Hotels prefer guests who book directly because they don’t have to pay commission fees to booking platforms,” Fred notes. “This puts you in a better position when requesting favors like upgrades.”
Join the hotel’s free loyalty program
Even basic loyalty memberships can make a difference. “You don’t need elite status,” Fred clarifies. “Just having your loyalty number attached to the reservation shows you’re invested in the brand.” Many hotel loyalty programs are free to join and offer instant perks, sometimes including priority consideration for upgrades.
Consider your arrival time
If your travel schedule is flexible, arriving later in the day can work to your advantage. “By 6 or 7 p.m., hotels have a clear picture of no-shows and can more confidently offer upgrades,” Fred explains. “Plus, if they’re oversold in standard rooms, they might need to upgrade you anyway.”
Target off-peak days
Timing your stay for weekdays, especially at business-oriented hotels, can also increase your chances. “When occupancy is lower, hotels are more generous with upgrades because those premium rooms would otherwise sit empty,” Fred says.
